Can i visit the room?

With Bedstudent, there’s no need to waste time on in-person visits to the rooms. We provide high-quality, detailed photographs for each listing, allowing you to see exactly what you’re booking. These accurate images give you a clear view of the room’s condition, layout, and amenities. This means you can make an informed decision from the comfort of your home, ensuring that what you see online is what you’ll find upon arrival. Are the pictures i see in the website real?

However, please note that certain details such as the color of the walls or specific pieces of furniture may vary from room to room. What "All-Inclusive Fee Rent" Means at Bedstudent

When Bedstudent offers an “all-inclusive fee rent,” it means you pay a single monthly fee that covers everything you need for a comfortable and hassle-free stay. This comprehensive rent includes:

  • Monthly Rent: The base cost for living in your chosen room or apartment.
  • Utilities: Essential services such as electricity, gas, water, and heating are all included. In locations where it’s available, air conditioning is also covered.
  • Condominium Fees: Any charges associated with the upkeep and maintenance of the common areas in the building.
  • Waste Fee: The cost associated with waste disposal and management.
  • High-Speed Wi-Fi: A fast and reliable internet connection is provided, ensuring you stay connected without any extra charges.

Bedstudent's Contract Duration Policy

At Bedstudent, we provide flexible rental terms to accommodate various needs, with specific guidelines on contract duration:

  • Minimum Duration: The standard minimum stay is one month. However, this minimum can vary based on room availability and the time of year. For instance, if you book a room starting in September, you will be required to stay at least until January. Also, in case of bookng a room for your second semester, minimum stay will be at least till 31 july. This policy helps manage high demand during peak periods and ensures that our accommodation is efficiently utilized.
  • Maximum Duration: The maximum initial contract length is one year. If you find that you need to stay longer, you can request an extension. Extensions are granted based on availability and approval, allowing you to seamlessly continue your stay without the hassle of moving.

These flexible terms are designed to cater to both short-term and long-term residents, providing convenience and peace of mind.

Bedstudent's Early Termination Policy

At Bedstudent, we understand that plans can change. If you need to terminate your contract early, our policy is designed to be straightforward and fair:

  • Notice Period: You are required to give a one-month notice if you plan to terminate your contract early. There are no penalties for early termination, making it easy for you to adjust your stay as needed.
  • Administrative Fee: For the early termination process, there is a mandatory administrative fee of €67. This fee covers the cost of registering your early withdrawal with the Revenue Agency.
  • June and July Terminations: Please note, this lenient policy does not apply if your requested termination date falls in June or July. During these high-demand months, the full security deposit will be retained if you terminate your contract early. This special condition helps manage the higher occupancy rates typically experienced during the summer months.

Our aim is to provide a flexible and transparent approach to contract terminations while also maintaining operational efficiency during peak periods.

Bedstudent's Contract Extension Policy

Extending your stay at Bedstudent is straightforward, but please note that extensions are not guaranteed due to high demand. Here’s what you need to know about the extension process:

  • Confirming Your Extension: To extend your stay, promptly notify us of your intention. You can confirm via message, including WhatsApp. Once confirmed, your extension is treated as a new reservation secured by your existing security deposit.
  • Cancellation Policy: If you cancel your confirmed extension, please be aware that the security deposit will not be refunded. This policy helps manage high demand and ensures efficient room allocation.
  • Extension Fees: Extending your contract incurs the following costs:
    • Extension Fee: €300
    • Contract Registration Fee: €128 for registering the new contract.

While we strive to accommodate extension requests, availability is limited, and extensions are subject to confirmation based on room availability. Please confirm your extension early to secure your continued stay with us.

This policy ensures transparency and helps us manage accommodation effectively, while reminding you that extensions are not guaranteed and are subject to availability.

Security Deposit Payment

At Bedstudent, securing your room involves a straightforward process regarding the security deposit:

  • Reservation Confirmation: To confirm your reservation, we require payment of a one-month security deposit. This deposit ensures your commitment to the room and covers any potential damages during your stay.
  • Deposit Refund: Upon the conclusion of your lease and after verifying the room for damages, the security deposit will be returned to you within 30 days. Deductions will apply for the following:
    • Final Cleaning Fee: €50
    • Unpaid Dues (if any)
  • Non-Refundable Deposit: Please note that the security deposit is non-refundable in the event of reservation cancellation before your arrival. This policy helps maintain room availability and ensures that bookings are honored.

This process ensures transparency and accountability, safeguarding both the tenant and Bedstudent. Your security deposit serves as a guarantee of your commitment and responsibility during your stay with us.

Importance of Italian Codice Fiscale (Italian Tax Code)

Having an Italian Codice Fiscale is essential when renting with Bedstudent, and you must have it upon arrival for the following reasons:

  • Lease Contract Legalization: To register and legalize your lease contract, the Italian Codice Fiscale is required. This identification number is crucial for official documentation and ensures compliance with local regulations.
  • Obtaining Your Codice Fiscale: If you do not already have an Italian Codice Fiscale, you can obtain one by requesting it from your university or by visiting the Agenzia Delle Entrate office. It’s recommended to start this process early to avoid any delays in completing your rental formalities.
  • Reservation Process: You can still reserve a room with Bedstudent even if you do not yet have your Codice Fiscale at the time of booking. However, it is important to obtain it before your arrival in Padova to complete the necessary paperwork and legal requirements smoothly.

Having your Codice Fiscale ready ensures a seamless rental experience, allowing you to focus on settling into your new accommodation without delays or complications.

Service Commission and Taxes

At Bedstudent, additional charges apply only once beyond the base rental fee:

  • Service Charges: Our service commission, corresponding to the amount of one month rent in addition of 22% VAT, billed at arrival once. This commission covers various services provided to ensure your comfortable stay.
  • Contract Registration Fees: In addition to the service commission, a registration fee of €128 for the contract is required. This fee is applied at the time of contract registration and helps cover administrative costs associated with legalizing your lease.

Self Check-In Procedure

At Bedstudent, we offer a convenient and flexible self-check-in process to accommodate your arrival schedule:

  • Key Collection: 5 days before your arrival, we will send you all the necessary information via email to collect your keys independently from our check-in hubs.
  • Flexible Timing: You can check in anytime after 16:00 on the day of your arrival, including weekends. This allows you the flexibility to arrive at a time that suits you best.
  • Support Available: If you have specific needs or require assistance during the check-in process, please contact us in advance. Our team is ready to provide personalized support to ensure a smooth arrival.
  • Pre-Arrival Information: All details, including directions to the check-in hub and access instructions, will be sent to you via email 5 days before your scheduled arrival. This includes video tutorials and clear indications to help you navigate the check-in process independently.

This self-check-in procedure is designed to offer convenience and flexibility while ensuring that you have all the information and support needed for a seamless arrival experience at Bedstudent.

To ensure a smooth checkout process, we will provide you with detailed instructions a few days before your scheduled departure:

  • Key Handover: A few days before your departure, we will send you all the necessary information via email to independently hand over the keys at our check-out hub.
  • Checkout Time: Please vacate the room by 9:00 am on the day of your departure, ensuring it is free from any personal belongings.
  • Video Documentation: Prior to leaving, please record a detailed video of the room to document its condition. This helps maintain transparency and prevents disputes regarding damages.
  • Key Return: After recording the video, place the keys securely into our designated checkout box at via Roma 38. Once deposited, please send us a photo of the keys in the checkout box for confirmation.
  • Information Timing: All necessary checkout instructions and details will be sent to you via email 5 days before your scheduled departure. This ensures you have ample time to prepare and follow the procedure accurately.

At Bedstudent, we ensure that all our rental contracts are registered in compliance with Italian law:

For non-EU students, Bedstudent provides the necessary “Dichiarazione di Ospitalità” and related documents to support your Visa or Permesso di Soggiorno (residence permit) application:

  • Dichiarazione di Ospitalità: We will assist you in obtaining the “Dichiarazione di Ospitalità,” which serves as a formal declaration of hospitality required for visa and residency permit applications in Italy.
  • Documentation Support: Our team will provide all necessary paperwork and support to help you complete and submit your visa or residence permit application successfully.
  • Legal Compliance: The “Dichiarazione di Ospitalità” and related documents ensure compliance with Italian immigration regulations, demonstrating proof of accommodation and support during your stay in Italy.

General Conditions of Contract

This summary encapsulates the essential terms and conditions of the lease contract at Bedstudent, providing clarity and transparency regarding rights, obligations, and procedural details for both parties involved.

  1. Object: The lease pertains to the single room/studio apartment and relevant common areas
  2. Duration: The contract is transient, effective from [ArrivalDate] to [DepartureDate]. Termination occurs automatically at the end of this term without notice. The property is intended for temporary use aligned with the Tenant’s off-site study/work activities. The Tenant may terminate the contract with one month’s notice, except during June and July when the security deposit will be retained. No penalties apply for termination, except for registration fees for early termination (67 euros).
  3. Rent, Expenses, and Payment Methods: Monthly rent is €[MonthlyFee], due by the [DayofPayment] of each month via bank transfer to the Lessor’s IBAN [IBAN]. Additional expenses (utilities, condominium fees, TARI, high-speed WiFi) amount to €[MonthlyCost] per month, also payable by bank transfer to the same account. The reason for payment must include “[Name] [Surname], payment of relevant rent”.
  4. Security Deposit: The Tenant pays a non-interest-bearing security deposit equal to one month’s rent and expenses, refundable upon lease conclusion pending property inspection and compliance verification. A €50.00 cleaning fee will be deducted. Loss of keys incurs a €80 restoration fee.
  5. Lessee’s Obligations: Failure to timely pay rent or ancillary charges may result in contract termination.
  6. Subleasing and Use: Subleasing or lending the property in any form is prohibited, with single occupancy only permitted. Authorization for guests requires Lessor approval for limited durations.
  7. Property Delivery and Condition: The Tenant confirms online property inspection and suitability. The Tenant agrees to return the property in good condition, excluding wear, with liability for damages.
  8. Access Rights: The Lessor reserves the right to access the property for valid reasons, including visits for tenant relocation.
  9. Energy Performance Certificate: The Tenant acknowledges receipt of the Energy Performance Certificate (APE) for the property, valid for 10 years from issuance and subject to updates for renovations affecting energy efficiency.
  10. Condominium Rules and Conduct: Compliance with condominium regulations and laws is mandatory. Prohibited actions include disruptive behavior, parties, loud noise, damage to furnishings, and smoking indoors.
  11. Modifications: Tenant may not alter or add to the property without Lessor consent.
  12. Expenses: Tenant covers ordinary administration costs, including condominium fees, with extraordinary expenses borne by the Lessor. Excess utility consumption may incur additional charges.
  13. Personal Data Processing Authorization: Both parties authorize the sharing of personal data as required by rental obligations, per Legislative Decree no. 196/2003.
  14. Optional Clause: If applicable, the Lessor opts for the “Cedolare Secca” regime as per Legislative Decree 23/2011, exempting the contract from registration and stamp duties.

 

House Rules

Condominium Regulations and Legal Norms:

  • The Tenant agrees to adhere to the condominium regulations and all legally enacted norms.

Prohibited Actions:

  • Activities causing disturbance to other residents are strictly prohibited.
  • Organizing parties within the apartment premises is not allowed.
  • Use of loud sound devices is prohibited before 9:00 AM and after 9:00 PM.
  • Damaging furnishings in rooms or common areas is strictly forbidden.
  • Bicycles must not be brought inside the building unless permitted by condominium rules.
  • Hosting guests requires specific authorization from the Lessor.
  • Moving or removing furniture from other rooms and tampering with common area lighting is prohibited.
  • Air conditioners should not be turned off if unnecessary.
  • Smoking indoors is strictly prohibited.
  • Use of electric heaters is prohibited, with penalties ranging from €100 to €500 for violations.

General Hygiene Protocol:

  • Mandatory compliance with hygiene standards includes disinfecting bathroom fixtures and surfaces after each use.
  • Personal belongings must be neatly stored, not left on bathroom surfaces.

Shared Kitchen Responsibilities:

  • Residents must clean and disinfect kitchen surfaces after each use.
  • Dishes should be washed promptly and returned to their cupboards.
  • Freezers and refrigerators must be kept clean and free of unused items.
  • Regular defrosting of the freezer is required every two months.
  • Segregation of waste into organic, paper, cardboard, glass, plastic, unsorted, and special waste categories is mandatory.
  • Waste removal should be conducted daily.

Use of Common Areas:

  • Residents must maintain cleanliness in all common areas, regularly cleaning floors and surfaces.
  • Laundry should not be hung in common areas, and bicycles/scooters are not permitted inside.

Washer and Dryer Use:

  • Use of washers and dryers may be restricted to evening hours at the Owner’s discretion.

Protocol Enforcement:

  • All residents are expected to adhere to these rules and monitor compliance among fellow tenants.
  • Non-compliance may result in a specialized cleaning company being hired at the expense of all tenants, deducted from the security deposit.
  • Repeated violations may lead to immediate termination of the rental agreement by BedStudent.

Additional Responsibilities:

  • Tenants are responsible for safeguarding assigned passwords and relieving the Lessor of any liability related to wireless network services.

Is your service reserved for students only?

Absolutely not! Our service is also aimed at young workers away from home!

What kind of furniture will I find in the room?

All our rooms have a double bed (or, if smaller, a French Style bed) with bedside table and bedside lamp. You will then find a comfortable wardrobe, a chest of drawers, a desk with its chair and its light.

What is the size of your beds?

We have 2 kind of beds: king size (160*190cm) and french style bed (130*190cm).

Do you provide sheets, duvet, pillow, towels?

We do not provide sheets, duvet, pillow, towels, and in general personal amenities.

Is the kitchen equipped?

Yes, the kitchen is fully equipped with basic stuff (pots, plates, forks…)

Can i have Guests?

We allow guests for a reasonable time (2/3 nights, not more).

In case you will have guests to stay overnight, just inform us.

Can I Park my bicicle inside the building or in my room?

In general, parking bikes inside the building common area is not allowed. Please park it outside, making sure to lock it with a proper chain.

Also, we do not allow bringing bicicles inside the rooms.
